Client Agreement
This agreement is designed to create a clear understanding between the Practitioner and Client and to support a safe, respectful, and professional therapeutic relationship.
By booking an appointment, you acknowledge that you have read, understood, and agreed to the following terms and conditions.
1. Scope of Services
Rose Heart Healing provides complementary wellbeing services including:
Ayurvedic consultations and lifestyle guidance
Reiki healing sessions
Meditation training and guidance
Wellness coaching and educational support
These services are intended to support general wellbeing and personal development and are not a substitute for medical diagnosis, treatment, or emergency care.
Clients are encouraged to seek appropriate medical advice from qualified healthcare professionals for any medical or psychological concerns.
2. Client Responsibilities
The Client agrees to:
Provide accurate and relevant health information.
Inform the Practitioner of any changes in health status.
Take responsibility for their own wellbeing and healthcare decisions.
Follow recommendations at their own discretion.
Arrive on time for appointments.
3. Confidentiality
All personal information shared during consultations and treatments will be treated as confidential and stored securely in accordance with applicable data protection legislation.
Information will only be disclosed:
With the Client’s written consent.
Where required by law.
Where there is a serious concern regarding the safety of the Client or another person.
4. Appointment Bookings
Appointments may be booked via:
Telephone
Email
Website booking system (not currently available)
Social media messaging
Appointments are confirmed once payment or deposit requirements have been met, where applicable.
Clients will receive confirmation of their booking and appointment details.
5. Payment Terms
Payment is due:
At the time of booking, or
No later than 24 hours before the appointment unless otherwise agreed.
Accepted payment methods include:
Bank transfer
Online payment
Cash (where agreed)
Failure to make payment may result in cancellation of the appointment.
6. Cancellation Policy
Client Cancellations
More than 48 hours’ notice: Full refund or transfer to another appointment.
Between 24 and 48 hours’ notice: Appointment may be rescheduled once without charge.
Less than 24 hours’ notice: No refund will be provided.
Failure to attend without notice (“no-show”): Full appointment fee is payable and non-refundable.
Exceptions may be considered in cases of genuine emergency, illness, or exceptional circumstances at the discretion of the Practitioner.
Practitioner Cancellations
If the Practitioner needs to cancel an appointment:
An alternative appointment will be offered, or
A full refund will be provided.
7. Refund Policy
Individual Sessions
Refunds are available:
If cancelled with more than 48 hours’ notice.
If the Practitioner is unable to provide the service.
Refunds are not available:
Following completion of a consultation or treatment session.
For cancellations made within 24 hours of the appointment.
For missed appointments.
Programmes and Packages
Where multi-session packages or programmes are purchased:
Refund requests must be submitted in writing.
Completed sessions will be charged at the standard individual session rate.
Any remaining balance may be refunded at the discretion of the Practitioner, less administrative costs.
8. Late Arrival Policy
Clients arriving late will receive the remaining appointment time available.
Appointments will finish at the scheduled time to avoid disruption to other clients.
The full appointment fee remains payable.
9. Health and Safety
Clients agree to inform the Practitioner of:
Medical diagnoses
Medication changes
Pregnancy
Mental health conditions
Recent surgery or injury
Any condition that may affect treatment
The Practitioner reserves the right to decline or postpone treatment where it is considered inappropriate or unsafe.
10. Professional Boundaries
The therapeutic relationship is a professional relationship.
Clients agree to:
Treat the Practitioner with courtesy and respect.
Maintain appropriate boundaries.
Refrain from abusive, threatening, discriminatory, or inappropriate behaviour.
Rose Heart Healing reserves the right to terminate services where behaviour compromises safety, wellbeing, or professional standards.
11. Results Disclaimer
Holistic therapies support the body’s natural capacity for balance and wellbeing; however, individual results vary.
No guarantees can be made regarding specific outcomes or improvements in health conditions.
12. Consent
By signing the agreement, the Client confirms that:
They have read and understood this agreement.
They understand the nature of the services provided.
They voluntarily consent to receiving services from Rose Heart Healing Sanctuary.
They agree to the booking, cancellation, and refund policies outlined above.
